Acts as a trusted business partner to Director in their contribution and leadership of UK Sport. &nbsp; Thus offering exceptional Executive Assistance, to enable Director to effectively lead both the People Department and the wider organisation as part of UK Sport's Executive Team. &nbsp;Client DetailsA large public sector organisationDescriptionDIARY MANAGEMENT· Proactively manages all aspects of Director's diary and programme of activities, supporting prioritisation and enabling effective time management, to ensure Director is able to work efficiently. &nbsp; Acts as 'gatekeeper' and 'gateway', creating win-win situations for engagement with Director. &nbsp;· Maintains Directors' appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel (home and abroad)<br>· Works closely and effectively with Director to ensure they are well informed of upcoming commitments and responsibilities and supports with proactive planning, to enable Director to operate effectively. &nbsp; EXECUTIVE SUPPORT· Prepares reports by collecting and analysing information, discussion documents, correspondence and key communications to internal and external stakeholders on behalf of Director. &nbsp;· Leads planning and scheduling of department events and meetings as required - collates and distributes agendas and papers, taking minutes and proactively following up on action points to ensure activity is delivered. &nbsp;· Meticulous with providing appropriate documentation prior to meetings and having all relevant colleagues briefed in advance of meetings. &nbsp;· Provides secretariat support to allocated committees/forums· Prioritises conflicting needs, handles matters swiftly, proactively and follows through on projects to successful completion. &nbsp;· Assists Director in prioritising workload, collating information and co-ordinating submission of corporate documentation. &nbsp;· Provides project management support to Director as required. &nbsp;· Proof reads documents drafted by Director· Regular maintenance and updating of Directors' electronic and manual filing systemsProfileEssential:· Proven experience in Executive Assistant role, operating at a similar level· Able to work effectively in a fast-paced environment and to handle a wide variety of activities and confidential matters with discretion· Outstanding time management, prioritisation and organisational skills, with impeccable attention to detail· Excellent written and verbal communication, with excellent interpersonal skills and the ability to build effective relationships with a variety of stakeholders· Highly IT literate and numerate· Experience of taking and producing meeting minutes· Experience of preparing documentation and coordinating the appropriate administration attached to meetings· Calm under pressure and able to successfully juggle multiple priorities· Forward-looking thinker, who actively seeks opportunities, anticipates issues and proposes solutions· Ability to exercise good judgement in a variety of situations, acting as a trusted advisor with strong decision-making capability· A natural team player, equally able to operate effectively independently· Demonstrates a positive, can-do attitude, operating with high levels of professionalism, proactivity and personal accountability. &nbsp; Desirable:· Prior project management experience. &nbsp;· Interest in any HR/People focused activity. &nbsp;· Demonstrable experience operating as part of a high-performing EA team. &nbsp;Job Offer18 months FTC
